Job Summary:

1. Prepares invoices and tracks accounts receivables, communicates with vendors as necessary.

2. Maintain and update Web Site and Social Media Sites.

3. Run reports and compiles data from several business applications to include Business Objects and banking applications.

4. Prepares correspondence on behalf of the Chairman and Practice Administrator.

5. Schedules and prepares interviews for new medical faculty, to include travel arrangements and coordinating with other departments.

6. Assists with implementing and tracking project management.

7. Assists with process improvement.

8. Completes medical staff applications and on boarding for medical providers.

9. Maintains web site on Upstate University platform and performs edits as necessary.

10. Maintains department social media sites.

11. Works with marketing office to create, design and distribute marketing materials.

12. This position requires analytical abilities to support identification and evaluation of programmatic areas.

13. Work requires both independent and team-based design and completion of analyses.

14. Responsible for coordinating multiple schedules including clinic appointments, surgery schedule, administrative and academic schedules.

15. Coordinates with the clinic staff, as necessary.

16. Handles variety of administrative and clinic matters involving contact with various staff, patients, medical staff, government agencies, insurance carriers and the public.

17. Answers main practice telephones and addresses calls as appropriate.

18. Requests, locates, sends, and receives patient medical records.

19. Maintains files and assists in establishing office systems.

20. Arranges appointments, meetings, and conferences.

21. Other duties as assigned.

Minimum Qualifications:

Bachelors degree or equivalent experience in related field with two-years administrative experience. Must be proficient in Microsoft Office Applications (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat. Will consider equivalent combination of education and experience.  

Preferred Qualifications:

Executive administrative experiences, extensive organizational and clerical skills.

Basic bookkeeping skills.

Work Days:

M-F 8:00 am-4:30pm
