Job Summary:

Provide administrative support to the Infectious Disease Division in the Department of Pediatrics, including assist with tracking/reviewing of grants including expenditures, budgets, etc.; assist with the day-to-day administrative tasks for the division providers including on-call schedules, maintain CVs, track NY State license, DEA, medical staff privileges, etc., expiration dates and assist with renewals, track and submit student evaluations, organize and orchestrate the resident and medical student rotations, assist with the planning and organization of monthly provider meetings, conferences, lectures, etc.; maintain provider calendars, provide coverage as needed for other divisions, general office duties including typing correspondences, online publication searches, assist with manuscript preparation and submission, filing, faxing, record storage keeping, maintaining office requirements, travel and submit documentation for reimbursement, etc.; logging of study subjects, maintain research accounts and checking account for payments to study participants as well as deposits, initiate payments from various grant/research accounts for monthly/yearly invoices, etc.

Function as the main office receptionist for the Department of Pediatrics, including greeting all visitors, entering daily visitors into passage point, maintain up-to-date phone lists, maintain inventory of office supplies, including toner cartridges, copy paper, etc.; serve as the point of contact for departmental pagers, submit and track departmental purchase orders, maintain office equipment, copiers, fax machines, add, accept and distribute deliveries, etc.

Minimum Qualifications:

Associates Degree or pertinent college level courses and two years of administrative/office management experience. Will consider equivalent combination of education and experience.

Preferred Qualifications:

Previous experience working in an academic/medical office setting, proficient in Microsoft Office including Excel.

Work Days:

M-F between 8 a.m. and 5 p.m.
