This position provides high level administrative support for the efficient and effective administration of Upstate Emergency Medicine Departments Fellowship Programs.With the increasing scope and complexity of program requirements and documentation, the fellowship coordinator must have excellent organizational skills, effective analytical skills and have an ability to exercise independent and sound judgment. Must be able to triage multiple priorities and meet deadlines. Excellent communication skills are essential, including verbal, written, and computer communication abilities. Strong critical thinking, problem-solving and attentiveness to detail required. This individual will be interacting with a variety of staff at many levels, often dealing with confidential information so strong interpersonal skills are critical. Must possess excellent computer skills including MS Word, Excel, and Outlook. Knowledge of, or ability to learn other software programs, hospital specific software and database management programs (i.e. MedHub, Blackboard, Tracker) as necessary. Additional Skills:

PRINCIPAL DUTIES AND RESPONSIBILITIES: 1.Coordinates administrative and program activities. Serves as principal source of information to students, staff, and faculty on policies, procedures and programs. 2.Oversees the preparation of materials for grants, contracts and budgets. 3.ACGME and ADS Updates. 4.Use of Google doc to track rotation of students/residents. 5.Sets up interviews. Coordinates travel arrangements as necessary. Gathers onboarding paperwork. Makes sure that all end of year requirements for graduation are fulfilled. 6.Schedules and coordinates meetings and appointments. Takes meeting minutes. Answers and screens telephone calls. Responds to requests for information and provides assistance. Screens and responds to emails. 7.Formats and edits correspondence, reports, manuscripts, grants, and other material. Assembles attachments and corresponding material. Reviews outgoing material for completeness, dates, and signatures. Composes substantive correspondence and written material.
