Medical Secretary – Upstate Community OBGYN Position Overview Upstate Community OBGYN is looking for a Medical Secretary to join our growing OBGYN ambulatory office. The Medical Secretary will part of a dynamic practice with three (3) convenient locations. The Medical Secretary should have strong communication skills and be able to coordinate effectively with an interdisciplinary team throughout the practice and hospital, including the admissions area, Labor & Delivery, and other parts of the Upstate University Hospital system as necessary. Position Responsibilities Responsibilities include but are not limited to: • Patient registration, check-in and check-out processes. • Greet patients and confirm demographic information. • Answer phone lines, schedule appointments and take messages for clinical staff. • Schedule additional appointments as ordered. • Review need for referral authorizations, pre-authorizations and/or obtain information that may be requested by other staff. • Initiate any required insurance carrier regulatory needs such as ABN’s or waivers of liability and forward to appropriate staff for completion and/or discussion with patient. • Scans reports and documents into patient medical record. • Utilizes all pertinent office equipment such as copiers, fax, scanners, etc. • Assists with other tasks assigned by leadership. • The successful applicant will be a member of an interdisciplinary team and will work collaboratively with the OBGYN ambulatory team. Position Shift: Monday through Friday Daytime Hours Minimum Qualifications: • High School Diploma • Courses in typing, medical terminology and two (2) years of experience is preferred. • Experience with EPIC is a plus!

Acts as a liaison at department meetings and provides training to new employees in various roles with Patient Access. Audits registration quality of Hospital Patient Services Clerk 1 staff and provides education to fix errors. Also provides leadership to the Hospital Patient Services Clerk 1 staff when the supervisor is not available. Other duties required based on departmental needs.

Additionally, the registrar will generate reports as needed by the department, hospital and American College of Surgeons to be used to assess patient outcomes as well as for research purposes. The Trauma Registrar is also responsible for downloading data for submission to the to the American College of Surgeons Quality program and the New York State Department of Health. This position will work closely with the Pediatric Trauma team, the Department of Pediatric Surgery and the Department of Nursing.
