Job Summary:
Under the direction of the Division of Hospital Medicine Business Manager and STAR Project Manager, the Administrative Assistant provides a broad range of day-to-day administrative support to the Division of Hospital Medicine. Responsibilities include, but are not limited to, answering telephones, taking messages, faxing, locating, sending, and receiving patient medical records, arranging appointments, meetings, and conferences, composing correspondence and disseminating to appropriate individuals, and maintaining files and assisting in establishing office systems. The Administrative Assistant coordinates personnel recruitment process and onboarding, including obtaining and maintaining office spaces, ordering supplies, responding to inquiries, providing updated program information, attending and maintaining minutes for multiple committees, and coordinating interviews. The Administrative Assistant facilitates and manages observerships and student rotations alongside the Physician Assistant team leader. Responsible for achieving high-performance goals and meeting deadlines in a fast-paced environment, and must be able to work under pressure to handle a wide variety of activities and confidential matters. Must have strong problem-solving capability. Helps to organize travel arrangements and prepares for reimbursement. Maintains cordial and effective working relationships with all administrators, directors, etc. The Administrative Assistant is also responsible for calendar management and quarterly newsletter development, execution, and dissemination.
Minimum Qualifications:
Associate's Degree in a related field and a minimum of three years of administrative experience (preferably in a healthcare environment) or an equivalent combination of education and experience required. Excellent written/oral communication, organizational, analytical, critical thinking, and computer skills required.
Preferred Qualifications:
Relevant administrative experience in a health care environment.
