Job Summary:
This position provides administrative support to the Department of Public Health & Preventive Medicine and its associated units: Upstate Public Health Program, Center for Research and Evaluation (CRE), and Preventive Medicine. The role supports administrative operations and within the department, including invoicing and project number tracking for CRE, in conjunction with CRE Director & Department Chair. The position coordinates purchasing and receiving for PHPM such as ordering goods and services, professional memberships, travel expenses, and inventory management.
The position will also include office duties and administrative functions, including but not limited to, event coordination, answering phones, coordinating meeting logistics and conference calls, room reservations, ordering supplies, and/or submitting maintenance/repair requests. The role manages the Department Chair's calendar, requisition input, receiving of packages, and IT/equipment coordination. The position will assist the Department Chair as needed and perform other duties related to financial and administrative tasks, as appropriate and assigned. Strong written and communications skills are required, as is the ability to handle confidential information with discretion.
Minimum Qualifications:
Bachelor's degree and at least two years of experience in providing administrative support and coordination. Experience should include, but is not limited to, purchasing and receiving, experience with administrative processes, and proficiency with Microsoft Excel.
Preferred Qualifications:
Experience managing the administrative functions of a department at an academic medical center or other institution of higher education.
