Job Summary:
The Assistant for the Hospital Medicine Program will provide comprehensive administrative support to the Associate Chiefs of the Hospital Medicine Program, Hospitalists, and also serves as the backup Administrative Assistant to the Director of the Hospital Medicine Program. This role will involve managing schedules, coordinating meetings, preparing reports, and handling correspondence at both campuses. Additionally, the Assistant will assist in the leadership functions related to the Hospital Medicine Residency Track, including organizing educational events, maintaining residency-related documentation, and supporting the overall program administration. This position is crucial in ensuring the smooth functioning of the office by managing day-to-day operations, supporting key administrative tasks, and maintaining effective communication with hospital leadership, staff, and external stakeholders.
Minimum Qualifications:
Bachelors degree and a minimum of two years of related administrative experience (preferably in a healthcare or hospital setting) OR an equivalent combination of education and experience required. Strong organizational, time management, and multitasking abilities required. Strong focus on Communications Management (systematic planning, implementing, monitoring, and revision of all methods of communication) required. Strong emphasis on decision-making related to technical assistance, internal communications, travel oversight, event planning, etc. Great team player who acknowledges the short and long-term goals and mission of the Hospital Medicine Program. Excellent communication skills, both written and verbal required. Proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint). Ability to work independently with minimal supervision and maintain flexibility in a dynamic environment. Attention to detail and the ability to prioritize tasks efficiently. Professional demeanor with the ability to handle confidential matters discreetly.
Preferred Qualifications:
Previous experience in graduate medical education or academic program coordination preferred. Ability to cope with periods of high workload. Ability to work efficiently under time constraints in an evolving environment. Ability to learn new software applications. Proficiency in Amion software and utilization to assist with scheduling. Strong need for synchronization in a multi-faceted environment.
