Job Summary:
The Conference Services Specialist will support a wide range of conference planning activities, offered by the SUNY CPD in support of SUNY-wide initiatives and communities of practice across a 64 campus university system.
A member of the Delivery and Services Team, the Conference Services Specialist
will lead and manage the conference planning efforts for several SUNY-wide conferences, the largest of which is the Conference on Instruction and Technology (CIT) to include preparing and maintaining schedules of function dates and arrangements with the facilities, leading or participating in planning committees, onsite conference management, management of registration and abstract submission.
The Conference Services Specialist works in a team of professionals who support the delivery of university-wide conferences, convenings, symposia and community meetings in both virtual and in-person. SUNY CPD Conferences take place in a variety of formats, leveraging operational technologies to enable this work. Delivers exceptional customer service and timely support to a diverse range of stakeholders across the SUNY System, including campus and system leadership, faculty, and students.
Onsite event management will be required and may include travel within New York.
This is a remote position, with a required location of within New York State as travel to Quarterly in-person meetings is required. Remote positions within the SUNY CPD may be subject to change with a possible move to office space located on the nearest SUNY campus.
Minimum Qualifications:
" Bachelors degree from an accredited institution in a relevant field
" 1-3 years of related experience, including working with diverse groups and supporting events for varied audiences
" Proven experience in planning and executing professional development events.
Proficiency in Microsoft Office tools, including Word, Excel, PowerPoint, Outlook, OneNote, Teams, and Engage
" Experience using online database systems for tracking and managing program and customer information
" Strong oral and written communication skills, organizational and quantitative abilities, and technical aptitude
" Demonstrated ability to meet deadlines, manage multiple priorities, and work independently as well as collaboratively
" Commitment to providing high-quality customer service and acting as a resource to CPD participants
" Exceptional attention to detail and accuracy in record keeping
" Experience with web-based technologies and online platforms
" Ability to build collaborative relationships and work effectively with diverse teams and leadership across all levels
" Willingness to embrace innovation and learn new technologies to support program delivery
" Passion for lifelong learning and professional growth
" Must have a dedicated workspace with reliable high-speed internet access.
Preferred Qualifications:
" Experience working in a higher education environment
" Experience in training / teaching
" Knowledge of the SUNY System and experience working with campus staff
" Knowledge of major SUNY initiatives, and trends within the industry of higher education
" PROGRAM TOOLS: MS Suite of Products, Event Management Systems (e.g. Cvent, Survey Tools, Web Conferencing Software (e.g. Zoom, MS Teams Calling) , Learning Management Systems specifically Brightspace, Virtual Confernce Platforms, and other web-based tools (such as Google Documents)
