Job Summary:

Reporting to the Accounts Payable Supervisor, the Office Assistant 2 (Calculations) SG09, will handle and process invoices with various pricing (often over $1,000.00) with multiple lines, ensure all payments are proper NYS expenses and in accordance with NYS and SUNY policies and procedures. Verify receiving on invoices and payments with end users. This individual may also assist with processing refunds and unencumbered payments for state-funded vouchers and ensure that payments were issued by NYS and not Research Foundation or any other Upstate funding source.  Obtain the required campus signatures and submit to the SUNY Central Office. Work closely with SUNY Central representatives, OSC, Purchasing departments and vendors. Review statements for past due/credit hold issues and resolve them. Required to handle refunds and work with SUNY Central to resolve any issues and/or make corrections. Must also monitor IDL Errors when vouchers do not successfully transmit to Albany; this is completed daily. Assist with processing of encumbered payments and paying purchase order invoices, as needed, and other duties as assigned. Must possess knowledge of pricing agreements to ensure invoices are properly billed.

Minimum Qualifications:

For consideration for this title, you must meet one of the following minimum qualifications:

NYS Department of Civil Service Eligible list or eligible for transfer

Or

Promotional:

Must be a qualified employee of New York State and have had one year of permanent competitive or 55-b/55-c service as an office assistant, clerical or keyboarding title allocated to Grade 5 or higher. Or

Open competitive (Non-competitive, NY HELPS) Qualifications:

One year of clerical experience where majority of work time is spent performing mathematical operations, and/or clerical activities related to mathematical operations.

Work Days:

Schedule based on a 37.5 hour work week. Monday-Friday 8am-4pm
