Job Summary:
This position will provide direct administrative support to the faculty, staff, and students of the Center for Vision Research (CVR). This position will encompass a number of duties including, but not limited to: Coordinating/organizing departmental seminars, meetings, and events (room reservation and set-up, catering, audio-visual support, etc.). Serving as primary point of contact for invited seminar speakers and departmental guests (travel arrangements, hotel reservations, itinerary creation, seminar announcements, etc.). Preparing travel reimbursement requests for all departmental personnel and departmental guests. Managing departmental conference room space and assisting departmental personnel with making needed room reservations. Maintaining the departmental website, calendars, publications directory, and other departmental documentation. Serving as primary point of contact for all Physical Plant and Environmental Services issues in office, laboratory, and shared spaces. Assisting with onboarding/offboarding of departmental personnel and student volunteers (managing security privileges, key requests, lab coat assignments, network/e-mail accounts, etc.). Assisting faculty/lab personnel with resolving any purchasing and/or receiving issues that arise. Assisting with tracking of departmental expenses and account reconciliations. Serving as departmental liaison with IMT, Educational Communications, and Telecommunications departments. Serving as primary source of technology support for all departmental members. Other general administrative duties as assigned.
Minimum Qualifications:
Bachelor's Degree and 2 years of professional experience or an equivalent combination of education and experience. Proficient in use of Microsoft Office/Google applications and virtual conferencing platforms. Excellent verbal/written communication skills. Demonstrated organizational and time-management skills.
Preferred Qualifications:
Previous work experience at an academic institution and/or in a research-oriented division. Previous experience providing administrative support to a larger department or division.
Work Days:
Monday - Friday; 8:30 am - 5:00 pm. Occasional evening or weekend hours may be required.
