Job Summary:

The Department of Medicine is seeking a highly organized and proactive Senior Administrative Specialist to provide comprehensive administrative support to the Division Chief of Cardiology and division faculty. This role requires a high degree of professionalism as well as the ability to manage multiple priorities in a fast-paced academic medical environment.

Primary Responsibilities:

  • Manage and coordinate calendars, including scheduling meetings, conference calls, and appointments for the Division Chief and faculty.
  • Organize and oversee Cardiology Grand Rounds and other divisional lectures/events.
  • Arrange travel and accommodations for faculty and visiting lecturers.
  • Screen and prioritize mail, email, and telephone communications; respond or redirect as appropriate.
  • Edit and proofread a variety of documents, including reports, correspondence, and presentations.
  • Prepare and process expense reimbursements, credentialing applications, and medical staff documentation.
  • Maintain accurate and well-organized electronic and paper filing systems.
  • Coordinate and maintain the division's on-call schedule.
  • Serve as a liaison between the division and key departments within the hospital and with community partners.
  • Support the preparation of grant applications, progress reports, and other administrative documents.
  • Coordinate recruitment and onboarding activities for new faculty.
  • Assist with administrative aspects of the facultys educational and clinical responsibilities.
  • Provide cross-coverage for other divisional administrative staff as needed.
  • Perform other duties as assigned to support the goals of the Division and Department
Minimum Qualifications:

Associate's degree and a minimum of 5 years of administrative experience, preferably in an academic or healthcare setting.

  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills.
  • Exceptional organizational and time-management skills with the ability to prioritize and multitask effectively.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Excellent interpersonal skills and the ability to work both independently and collaboratively.
