Job Summary:

The Department of Medicine Sr. Administrative Specialist will provide high-level administrative support to the Division Chief of Dermatology. Coordinate all office and secretarial support functions of a department.

Accountabilities : Responsible for efficient operation of all administrative/secretarial support functions, issues and interprets office operating policies and procedures, and prepares reports including conclusions and recommendations for solutions to administrative problems. In some cases, may also have responsibility for overseeing office or department technical support. May supervises support staff.

Description:
- Coordination of calendar, scheduling meetings, conference call and other appointments
- Coordinate Grand Round Lectures
- Assist with processing division educational requirement forms
- Travel and accommodation arrangements
- Handles mail and other correspondences; screens telephone calls and returns call
- Edits and proofreads a wide range of documents
- Prepares and processes expense reimbursement, academic credentialing and Medical Staff related documents
- Maintains filing system, both electronic and paper
- Liaison for the division with integral departments with the hospital and community organizations
- May participate with grant requests and other reports
- Coordinate new faculty recruitment and onboarding
- Assist with educational and clinic portfolios for supporting faculty
- Possible divisional administrative cross coverage
- Other duties as assigned

Minimum Qualifications:

Associates Degree or pertinent college level courses and 4 years administrative/office management experience including supervisory experience.

Proficient in a variety of office software and spreadsheets. If duties require, may need advanced computer application and software knowledge. Able to work independently.
