Medical Office Assistant / Front Desk Supervisor

The UCM MOA Front Desk Supervisor will be responsible for providing day-to-day leadership and support to the UCM OBYN ambulatory offices. The MOA Supervisor will participate in all related front office duties including providing guidance and support to staff as required. The MOA Supervisor facilitates open lines of communication with UCM administration and OBGYN leadership team, staff, healthcare team, patients, and family.

Position Highlights:

  • Schedule: Monday–Friday, 8:00 AM–4:30 PM (Closed for Lunch 12:00–1:00)
  • Location: Upstate Community Hospital - 4900 Broad Rd, Syracuse NY
  • No Weekends
  • Paid Time Off: 4 weeks vacation with additional sick time

This position is with Upstate Community Medical, P.C. and is not a state position.

Your Day-to-Day:

  • Staff Supervision & Leadership: Supervise and support clerical staff, ensuring accurate and timely workflows while modeling professional behavior and effective communication with staff and leadership.

  • Information Management: Ensure efficient communication and information flow across the ambulatory office team and prioritize items requiring timely follow-up and resolution.
  • Registration / EPIC: Ensure MOA staff follow current EPIC registration procedures, maintain HIPAA compliance and patient confidentiality, and support efficient, patient-centered patient flow.

  • Appointment Scheduling: Train and monitor MOA staff on scheduling processes; review schedules for accuracy, maintain provider templates, and address scheduling issues as needed.

  • Telephone Management: Monitor telephone service to ensure prompt, professional, and courteous communication with patients and physicians; escalate inquiries as appropriate.

Qualifications

  • High school degree or equivalent (required)
  • Epic knowledge / experience (required)
  • A minimum of two (2) years office experience in a medical office setting (required)
  • Basic medical terminology knowledge (required)
  • Education or training in formal office procedures (preferred)
  • Knowledge of insurance policies and terminology (preferred)
