Job Summary:
We are seeking a highly skilled Outpatient Administrative Specialist responsible for scheduling patients for the Cardiology CT Suite and coordinating procedure plans. This role will gather data for quality and operational needs within the Cardiology division and provide outpatient procedure support to all physicians and clinical staff.
In addition, the Outpatient Administrative Specialist will assist as needed in a medical assistant capacity, including rooming patients, obtaining vitals, updating medication lists, assisting with exams and procedures under direct supervision, maintaining exam rooms, and managing instrument cleaning and supplies. Responsibilities also include handling referrals, chart preparation, answering phones, sorting mail, and performing patient check-in and check-out.
CLERICAL PRACTICE
· Answers telephones, triages messages accurately
· Accurate patient registration and checkout
· Obtaining signatures for all required financial and compliance documentation
· Processing referrals and diagnostic testing via EPIC work queue
· Obtaining insurance authorizations for both medication and procedures
· CPT and ICD10 knowledge
· Adjusting templates when needed
· Obtaining copayments at the time of registration
· Process medical records requests
· Confirming next day appointments
· Clinic and office supply ordering
CLINICAL PRACTICE
· Prepares and reviews medical records to ensure all necessary information is available for the days visit.
· Abstract chart into PEIC
· Obtains vital signs/weight and properly documenting into EPIC
· Performs any collection task, such as finger stick or urine tests, and documents current medications. Completes and provides additional documentation needed prior to the patient being seen, and provides this information to the provider as needed
· Assists the clinician with exams and procedures under direct supervision.
· Handles prescription renewals under the direction of an RN or clinician.
· Maintain sterile technique and adhere to NYS infection-control mandates
· Perform patient assessments focusing on cardiac status and imaging readiness.
Minimum Qualifications:
Associates degree and two (2) years of related patient financial/insurance services experience, or an equivalent combination of education and experience.
· Working knowledge of medical terminology and medical billing/insurance requirements for input into Epic.
· Strong written and verbal communication skills required.
· Proficiency in computer use and keyboarding.
· Ability to maintain positive relationships with patients, visitors, coworkers, and external partners.
· Completion of an approved Medical Assistant or Medical Office Assistant program, or one year of experience in a medical setting.
· Current BLS certification through the American Heart Association or the American Red Cross.
· Strong interpersonal and organizational skills required.ational skills required.
Preferred Qualifications:
Prior experience in cardiac care is strongly preferred.

Monday - Friday daytime hours
