Job Description:
This position will provide a high level of administrative support and OR scheduler to the Division of Transplant Surgery and the Department of Surgery Promotion and Tenure Committee Chairperson. The candidate will collaborate between the Department of Surgery Promotion and Tenure Committee and the College of Medicine Faculty Appointment Promotion Committee to ensure an organized process for faculty promotion. This position also requires the ability to multi-task to the meet administrative needs between the Division of Transplant Surgery and Department Promotion and Tenure Committee.
Duties
- Maintains a comprehensive list of all faculty members and monitors timelines for reappointment, promotion, and consideration of tenure for each. Takes the necessary actions, in collaboration with the Director of Business Operations and the Vice Chair for APT, to ensure deadlines for each specific action are met. Requests letters of support for faculty from internal and external reviewers. Tracks responses and follows-up on a routine basis to ensure letters are received.
- Coordinates review and approval of very high volume, time sensitive, confidential, and complicated documents
- Ensures all files have proper documentation (CVs, personal statements, publications, external reviewer letters, etc.)
- Coordinate with administrative support staff faculty meetings with the Promotion and Tenure Committee
- Coordinate and schedule transplant surgeries and organ procurement
- Coordination of calendar, scheduling meetings, conference call and other appointments
- Travel and accommodation arrangements
- Handles mail and other correspondences; screens telephone calls and returns call
- Edits and proofreads a wide range of documents
- Prepares and processes expense reimbursement
- Maintains filing system, both electronic and paper
- Create and maintain transplant surgery call schedule
- Liaison for the division with integral departments with the hospital and community organizations
- Maintain database and reporting systems as needed
- Acts as the central coordinator for the Sections and MSG related activities, including divisional meetings, retreats, CME courses, and other related activities. Coordinates scheduling of these events. Includes: announcements, travel and hotel accommodations, prepare and distribute meeting material, arrange meeting space and provide on-site support
- Assist with CV, educational and clinic portfolios for supporting faculty
Minimum Qualifications:
Associates Degree or pertinent college level courses and five years of administrative/office management experience including supervisory experience. Will consider equivalent combination of education and experience.
