Job Summary:

The Administrative Assistant will support the Department of Neurology at Upstate Medical University. The incumbent will work closely with the Executive Assistant to the Chair to meet the administrative operations of the Neurology Department.

Responsibilities will include:

  • Physician recruitment and on-boarding of physicians and other providers; this will include working with recruitment firms, coordinating travel, preparing itineraries and working with multiple departments on campus.
  • Other duties include medical staff appointments, re-appointments and promotions, creation of complex clinical schedules for multiple clinical services, including input into scheduling software.
  • Incumbent will assist physicians with on-line profiles, update departmental web-site and prepare department newsletters, as needed.
  • Act as the liaison with the physicians and other departments to coordinate receipt of necessary information and documentation as needed, and maintain detailed records to track receipt.
  • Handle department level communications from the Chair and distribute information to appropriate parties, as needed. Coordinate office moves and set-up including working with IMT and Telecommunications.
  • Work with vendors to do purchasing of equipment, computers, office supplies, reconciling and verifying purchases.
  • Handle work orders with Property, Plant and Equipment department, keep detailed log of all department equipment, maintain record storage system.
  • Maintain spreadsheets, directories and other tracking tools that will be utilized by other Department personnel. Assist with Accounts Payable activities.
  • Position responsibilities will vary based on need of department and skill of candidate.
  • Proficiency with Word, PowerPoint, Excel required.
  • Excellent oral/written communication, interpersonal and organization skills are required.
Minimum Qualifications:

Bachelor's Degree in appropriate field and 2 years of related experience. Will consider equivalent combination of education and experience.Will consider equivalent combination of education and experience.
