Job Summary:
The incumbent will provide administrative/secretarial support to the Upstate Rheumatology and Hill Infusion Center. Will assist with making new patient appointments, obtaining medical records, and general office organization. Will assist the team to processes of New Patient Referrals and other duties as deemed necessary within designated timeframes.
ADMINISTRATIVE/SECRETARIAL DUTIES:
- Enters new patient referral into EPIC, requests any missing documentation from referring office, and schedules new patient referrals.
- Monitors new patient referral workqueue throughout the day for new referrals and reviewing notes regarding any missing information that is needed.
- Scans incoming new patient referral documents into EPIC.
- Enters and updates patient demographic information as needed.
- Notifies Practice Manager of any patient that is self-pay before scheduling.
- Verifies appropriate authorizations are in place before scheduling new patients (VA, Tricare, Martins Point, etc). Contacts PCP office if the necessary authorization is not in place.
- Answer telephones, screen calls, take appropriate messages and routes to appropriate party.
- Performs confirmations calls for new patients.
- Maintains new patient referral spreadsheets and runs weekly new patient scheduling reports.
- Typing (general correspondence, schedules, transcription etc. as needed)
- Maintains equipment such as copier, printers, fax machine.
- Other duties as needed.
ACCOUNTABILITY:
This position involves routine activities such as telephone, typing, new patient referral scheduling, faxing. However, some job responsibilities will be non-routine, and require flexibility, and good judgment. New circumstances presenting unique situations arise constantly and require investigation for resolution.
Accepts instruction from appropriate resources.
Assumes responsibilities for working within limits of own job description.
Must be able to deal effectively with faculty, staff, and the public in a wide range of circumstances. Much of the information that is dealt with is highly confidential in nature.
Minimum Qualifications:
Associates Degree or pertinent college level courses and three years of administrative/office management experience. Will consider equivalent combination of education and experience.

- Must have good follow through, be creative and accept responsibility for the accurateness and thoroughness of the work that is delegated
