Job Summary:

Answers the telephone, takes accurate messages, triages calls, or handles certain calls that are appropriately handled by a Front Desk Clerk (e.g. rescheduling appointments).

Schedule all new patients and follow-up appointments. Responsible for chart preparation. Review the patient orders and makes sure that all pertinent information has been placed in the chart for the following day appointment.

Responsible for seeing that medical record is returned to the proper location at the end of each day to be filed.

Receives, screens, and reviews documents for completeness, content, and accuracy including assuring that the appropriate signatures are present on all documents prior to filing them in the medical record.

Ensure that tests that have been ordered are reflective of the specifications of their insurance company and the appropriate referrals or authorizations have been obtained.

Responsible for making sure that all patient-related information has been reviewed by the physician prior to filing. Searches for and collects information/patient records/data using institutional systems.

Responds to routine requests for information via telephone, written, or in-person and refers to the appropriate staff. May provide standard answers to questions.

Verifies insurance eligibility by asking to see the patient's insurance card and making a copy of the insurance card for the chart. Assures that the most recent insurance information is available in the system. Obtains or initiates insurance authorizations as needed for patient care.

Documents per departmental policy.

Assures that tests ordered are reflective of the specifications of the patient's insurance company contract. If not, notify the M.D and the Clinical Manager. Obtains release of information forms from the patient (or his/her representative) as necessary.

Responsible for completion of form letters for return to work, release from work, to obtain or release medical records, and other specific letters as requested.

Responsible for assisting with chart label preparation and patient database updates.

Responsible for sending written correspondence for appointment changes and no-shows letters to patients.

Participates in the filing of information and maintenance of the medical records for patients not scheduled for the following day after the information has been reviewed by the attending physician

Minimum Qualifications:

Associates Degree or pertinent college level courses and two years of administrative/office management experience. Will consider equivalent combination of education and experience.

Preferred Qualifications:

Computer skills, proficient with MS Office applications (Word, Excel), knowledge of EPIC, strong organizational and time management skills and excellent verbal and written skills are preferred

Work Days:

Monday - Friday daytime hours

The Outpatient Administrative Specialist will provide clinical administrative support to the assigned ambulatory area.  May assist in the preparation of monthly report of activities by compiling statistical data relative to clinic services as needed or requested. Serves as a subject matter expert and resource for providers and staff, addressing all non-routine issues and concerns related to the referral and authorization process. Assist with patient check-in and check-out procedures including registration activities such as entering and/or verifying demographic, insurance and/or financial information; generates routine forms and other documentation. Manage the EPIC Referral WQs. Answers phone, prioritizes incoming mail, faxes and correspondence. Work with/advise patients on insurance carrier requirements including services not covered and obtains documentation, collects patient co-pays, etc. Applies understanding of the need for ABN's and Waiver of Liability patient signatures. Obtains insurance authorizations, referrals, and manages denial processes in an accurate and efficient manner. Accepts assignments to other areas and performs additional administrative support duties as assigned.
