Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant I to join our dynamic team. In this role, you will play a key part in ensuring the smooth operation of Pediatric Surgery Clinic’s Front Desk coordinating a variety of schedules and administrative tasks.

Key Responsibilities:

  • Schedule Coordination: Manage and Streamline OR Case scheduling, coordination of provider schedules.
  • Pre-Surgical Preparation: Completing pre-surgical paperwork, Obtain authorizations, consents and schedule ancillary tests and procedures for patients.
  • Medical Receptionist Duties: Process new patient intake per department guidelines. Inputting patient registration in Epic, patient check in and check out, obtaining insurance cards, signatures on consent forms, and co-pay collection with the ability of entering data into multiple scheduling systems.
  • Administrative Support: Handle a range of administrative duties, including communication with staff, patients, medical professionals, government agencies, insurance providers, and the public. Answer clinic phones, identify, sort and file incoming chart documentation. Miscellaneous duties include mail and fax distribution and other clerical duties as required.
  • Communication: Exhibit the ability to communicate effectively in order to transfer information as well as complete a variety of tasks within a given timeframe while maintaining patient confidentiality.

Minimum Qualifications:

Three years of secretarial/administrative experience, or an Associate's degree and one year of experience required, or equivalent combination of education and experience.

Excellent organizational skills, computer skills, and strong customer service skills require

Preferred Qualifications:

One year of administrative experience in a medical practice setting preferred.

OR scheduling and patient registration experience preferred.

Computer skills and knowledge of medical terminology is desired.

Candidates with outpatient experience preferred.

Work Days:

Monday - Friday, Days- 8:00 am - 4:30 pm
